ROLE & RESPONSIBILITIE S OF THE NATIONAL STAFF
Line manager: Admin/HR Officer
Line manager +1: Field Coordinator
ROLE of the Admin assistant
Under the line management of the Administration/ HR Officer, the Administration Assistant supports in ensuring that all Handicap International’s
administrative procedures, rules and processes (related to Human
Resources and Accountancy) are properly implemented and applied for
Irbid Base.
Considering her/his involvement in the Human Resources management, the Administration Assistant must keep all the data confidential, and share it with the relevant HI staff members only
MAIN RESPONSIBILITIE S
1.Human Resources
Recruitment:
-Assist your line manager with the publishing of job announcements;
-Assist any head of department in collecting the applications and in organizing the tests and interviews;
-Contact the candidates to announce the outcome of the recruitment process.
Staff Contracts & HR files:
-Ensure that any new employee provides the required documents to HI (info sheet, resume, ID...);
-Ensure that any employee have all contractual documents signed: contract, job description, pay slip, Internal Regulation (IR), child protection and harassment against women form, social security form, health insurance record, etc…;
-Ensure a proper filing of these mentioned documents into each employee’s HR file;
-Ensure proper filing of all the documents concerning disciplinary measures and keep all the data confidential;
-Ensure that each employee’s HR file is complete;
-Assist in communicating to any new employee about his/her rights and duties towards HI (read the IR and lead briefings about administrative management (attendance sheet…);
-Assist your line manager in ensuring that any new employee receive all the required documents and goods according to their position (HI card, IT equipment, visibility items...).
HR management and follow up:
-Support in scanning or photocopying HR documents;
-Assist your line manager in updating the leave records for their employees and matching it with attendance sheet & leave request forms.
2.Accountancy :
-Support in scanning or photocopying accountancy documents (invoice, purchase documents…);
-Ensure the proper filing of accountancy documents.
 3.Other administrative duties
-Ensure proper translation of documents from English to Arabic or Arabic to English;
-Manage the planning of the meeting room;
-Ensure a proper welcoming of visitors & new employees on their first day (introduction to relevant staff, preparation of coffee/tea…).
PROFILE REQUIRED
-BSc. degree in Finance / administration/ HR or relevant field
-At least 2 years of professional experience in finance and HR field Â
-At least 1 year of professional experience in humanitarian context, preferably in emergency
-Strong interpersonal and intercultural skills
-Ability to work under high pressure
-Arabic & English mandatory (oral and written),
-Good communication
